Job Summary

Under general direction of the Senior Conference Planner III (CPIII) for the Conference and Training Services unit in the College of Continuing Education, the incumbent is responsible for planning and coordinating small-scale professional education projects with budgets totaling $350,000. This involves client interaction, program design, speaker recruitment, facility research and negotiation, and site logistical coordination. Supports the CPIII in coordinating large-scale conferences. Also manages up to 10 small-scale conferences and up to 20 one-day programs annually. A commitment to quality and to providing the highest level of customer service possible are also requisites for this position.

FLSA Non-Exempt - This position is covered by health benefits, and is non-exempt, (eligible for overtime compensation) according to the Fair Labor Standards Act.

Minimum Qualifications

Entry to this classification requires a fully functional knowledge of and skill in standard office procedures and practices, as well as an ability to understand and operate in a variety of organizational structures. Additionally, incumbents are expected to have a thorough knowledge of English grammar, spelling, and punctuation and be able to clearly communicate orally and in writing. Some positions may require a knowledge of business mathematics beyond basic arithmetic. The ability to use and quickly learn new office support technology systems and software packages is also a prerequisite.

These entry qualifications would normally be obtained through a high school program, technical/vocational program, or their equivalents combined with several years of related office work experience.

Required Qualifications

1. Evidence of strong conference planning-related knowledge and experience.
2. Experience with managing and implementing budgets.
3. Experience in preparing clear and concise communications.
4. Experience with providing customer service while working in a service oriented organization and/or position.

Knowledge, Skills & Abilities:
5. Project management and organizational skills in coordinating many different tasks, establishing priorities and timelines, completing projects accordingly (based on complexity/variety of past projects) with a commitment to quality and attention to detail.
6. Strong oral and written communication skills, including grammar, spelling, and punctuation.
7. Personal computer knowledge and skills. Ability to use project management software (such as Smartsheet, Slack, Basecamp) and Microsoft Office (Outlook, Excel, PowerPoint and Word).

8. Ability to work evenings and weekends as needed

Preferred Qualifications

9. Completion of conference planning coursework.
10. Experience with basic website design.
11. Experience with overseeing collateral produced by a graphic design team.
12. Experience with using Cvent, Crowd Compass, OnArrival Premium or similar event management software.
13. Familiarity with conference venues in the state of California.
