Job Summary

Under the general direction of the HEERA Manager, and Marketing Communications Director, the Marketing Communications Project Coordinator works on a broad range of projects in the areas of public affairs, social media administration, marketing, and outreach and promotional events. All activities and assignments support the strategic goals of the college. The Project Coordinator primarily monitors the progress of Marketing Communication projects to ensure that timelines and budgets are met, maintains a master calendar of events, courses, and projects, coordinates and monitors social media activity, and provides administrative and analytical support on projects.
As part of the Marketing Communications team, the incumbent assists with research, writing, and distribution of communications and presentations; prepares agenda, pre-meeting materials, records and distributes meeting minutes; and monitors relevant journals, publications, press, announcements, updates, and events. The Project Coordinator prepares for, attends, and reports on a wide variety of industry forums, government hearings, and similar public meetings. Within standard protocols and practices, the project coordinator coordinates and supports special events, meetings, and conferences. The incumbent maintains detailed records for existing and prospective clients, media contacts, and government officials; coordinates multiple calendars; organizes data, electronic documents, and paper files; plans or contributes to the planning of events; and prepares posts for social media.

FLSA Non-Exempt - This position is covered by health benefits, and is non-exempt, (eligible for overtime compensation) according to the Fair Labor Standards Act.

Minimum Qualifications

Entry to the first level within this classification requires knowledge of the fundamentals of public affairs and/or
media relations, and/or some exposure to marketing and marketing research. This background normally is obtained through a college degree, which includes relevant coursework in the field, and up to two years of related
professional or technical experience. In addition, strong written and verbal communication skills with a solid
foundation in grammar, spelling, and the composition of various communication vehicles are essential to initial entry to this classification.

Required Qualifications

Experience:

1. Understanding of and experience with being quality oriented (accurate, dependable, responsive, proactive, detail oriented).

Knowledge, Skills, Abilities:

2. Foundational knowledge of general practices and methods related to marketing, outreach, community engagement, and public relations.
3. Basic knowledge of and the ability to effectively use contemporary social media platforms and social media networking channels for enrollments campaigns and special events.
4. Working knowledge of copyright and other applicable laws pertaining to publications and the media.
5. Knowledge of web communication techniques, vehicles and formats. Ability to effectively use web technology to achieve communication goals.
6. Ability to appropriately handle sensitive and confidential information.
7. Exceptional interpersonal skills, including strong public speaking, listening and interpretive skills
8. Ability to work independently and as part of a team.
9. Ability to discern and report relevant facts and details from a wide range of industry meetings and community events.
10. Organizational and time management skills; Ability to initiate and independently plan, organize, prioritize, multitask and coordinate work with interruptions in a fast-paced environment to meet multiple goals and deadlines.
11. Ability to use common software applications such as Microsoft Office Suite.

Preferred Qualifications

Education and/or Experience

14. Bachelor degree in marketing, public relations, communication, journalism, or related field.
15. Experience in continuing education.
16. Experience in business, alumni, or donor relations in a university or non-profit setting.
17. Experience working with diverse levels of communications (formal presentations, webinars, teams, guest speaker, and personal meetings) with business, government, and community organizations.

Knowledge, Skills, Abilities

18. Understand business and social protocols.
19. Understand the publication cycles and editorial processes of media types
20. Knowledge of and ability to use marketing and social media project management tools/software
21. Graphic design experience
