Job Summary

Under the supervision of the designated HEERA manager, the program coordinator is responsible for assisting in the planning, delivery, promotion, evaluation, and tracking of various courses, programs, workshops, seminars, and special events with a moderate to high level of complexity. The program coordinator participates in meetings with other departments regarding courses, maintains current processes, serves as a point of contact for program information (internally and externally), may occasionally represent the program at industry events and provides some direction to the program support coordinator or temporary assistants. In addition, the program coordinator may be responsible for coordinating the process of developing online training and curriculum development projects as well as monitoring accountability of all parties involved in the projects. The program coordinator may serve as a lead in monitoring that online projects are within scope, schedule and budget.

FLSA Non-Exempt - This position is covered by health benefits, and is non-exempt, (eligible for overtime compensation) according to the Fair Labor Standards Act.

Minimum Qualifications

Entry to this classification requires a fully functional knowledge of and skill in standard office procedures and practices, as well as an ability to understand and operate in a variety of organizational structures. Additionally, incumbents are expected to have a thorough knowledge of English grammar, spelling, and punctuation and be able to clearly communicate orally and in writing. Some positions may require knowledge of business mathematics beyond basic arithmetic. The ability to use and quickly learn new office support technology systems and software packages is also a prerequisite.

These entry qualifications would normally be obtained through a high school program, technical/vocational program, or their equivalents combined with several years of related office work experience.

Required Qualifications

EXPERIENCE
1. Experience providing clerical and administrative support functions
2. Experience in the coordination of events such as meetings, conferences, trips
3. Experience in creating basic promotional and marketing tools such as flyers, surveys, etc.
4. Experience working with database and data entry with high accuracy
5. Experience using standard office software programs (MS Word, Excel, PowerPoint, Access, Internet Explorer)

KNOWLEDGE, SKILLS, ABILITIES
6. Working knowledge of budget policies and procedures
7. Ability to perform standard business math, such as calculate ratios and percentages, track financial data, and make simple projections
8. Ability to draft and compose correspondence and standard reports
9. Strong customer service skills
10. Good communication skills (written and verbal)
11. Interpersonal skills to interact effectively with all levels of staff and external constituencies
12. Demonstrated presentation and facilitation skill
13. Problem solving and conflict resolution skills
14. Organizational and time management skills to manage, implement, prioritize and multi-task, meet goals and deadlines
15. Team oriented

16. Ability to travel to on and offsite locations per the essential functions of the position

17. Experience working in continuing education
18. Experience working in an institution of higher education
19. Working knowledge of common CSU systems (Common Management System (CMS); Continuity 2000 (C2K); SEVIS).

The duties of this position include participation in decisions that may have a material financial benefit to the incumbent.
